Office Manager Needed!

 Office Manager Position Duties.

  • Serves as a business partner with the owner, the accounting firm and the employees.
  • Must have a high level of attention to detail and accuracy.
  • Answer and resolve questions regarding customer accounts and vendor accounts payable.
  • Ability to multi-task and meet deadlines.
  • Assist with month end book closing and sending out customer statements.
  • Daily duties include preparation of bank deposit, reconcile customer payments, maintain adequate cash and change necessary for all cash drawers. Maintaining excel spreadsheet of cash sales, rental sales andaccounts receivable.
  • Monitoring the time clock and preparing a work schedule for employees. Keeping a history of employee time off, sick days, and vacation days. Promotes good employee relations through accurate interpretation and administration of employee policies and programs, including compensation and benefit administration. Serve as human resources director and support employee health plan and retirement options. Assist with business insurance audit, workers compensation forms and report, record employee accidents.
  • Every two weeks provide the accounting firm with necessary payroll details. Promote good employee relations through accurate interpretation and administration of employee policies and programs.
  •  Plans, directs, supervises, administers and coordinate the end of month procedures. Prepare customer statements with monthly promotions insert. Maintain and order adequate supply of envelopes and postage. Notify owner of past due accounts and provide invoices to past due customers. 
  • Plans, directs, supervises, administers and coordinate the purchasing of office supplies and office equipment.
  • Audit vendor invoices against purchase orders. Initiate vendor payments to get possible early pay discounts within the payment terms. Pay the bills and reconcile the checkbook.
  • Assist with customers, approve daily lunch hour schedule. Sales tax reporting for the state of Oklahoma. Recommend or deny new customer accounts with information from credit reports from Experian for management approval.
